    Job Description

    To work as a willing and flexible team member, assisting where required and able to maintain a working knowledge of all aspects of the operation.

     Ticket sales, general reception duties and administration, post, night-time cashier and lost property.


    • Keeping accurate and detailed records for all events and projects in such a format that they are comprehensive in the event of leave or sickness
    • Preparing invoices and credit notes relating to ticketing
    • To recruit, train and rota casual box office staff to the required standard so that all shifts can be covered
    • Pro-actively contributing to the maintenance of good relationships with external promoters and event staff, to ensure the smooth running of events within the venue
    • Bringing to Management’s attention any issues relating to the fabric of the building or maintenance
    • To provide administration support to the General Manager and Assistant General Manager
    • Ensuring that the Box Office areas are kept clean and tidy at all times
    • Reporting back to the Management Team on a weekly basis regarding box office performance
    • Work with the Ticketmaster CAM’s, maintaining a good relationship
    • Be prepared to undertake any training as required by the General Manager
    • Providing excellent customer care to all visitors, artists and customers at all times
    • To be willing and able to work across departments, particularly with a view to duty managing events
    • To have an active role with marketing team to drive sales, undertake research as necessary and contribute to marketing initiatives
    • Any other duties that may arise



    Box Office

    • Sales via Ticketweb system, cash, credit card and ticket reconciliation
    • Transmission of all Ticketweb information, as per instructions including Daily Print Outs.
    • Expanding box office trade
    • Monitoring event ticket sales in all outlets as necessary
    • Ensure tickets for confirmed events are on sale by all outlets
    • Ticket distribution to outlets
    • Cash handling, and using the correct procedures to record any cash or credit card sales

     Reception / Administration

    • Before opening box office, taking messages off answer phone and either returning calls or passing messages on where relevant
    • Dealing with general enquiries by telephone and in person, taking messages and passing on to the relevant person
    • Taking and signing for deliveries, and notifying departments of the arrival of any deliveries
    • General administration
    • Responsible for out-going post on a daily basis and arranging deliveries where necessary
    • Ensuring that all staff are aware of forthcoming events, their nature and expected attendance figures

     Lost Property

    • Responsible for keeping records of all lost property and items claimed, dealing with day-time cloakroom collections.



    • Ticket sales and ensuring that the attendance figures tally with the z reports on a nightly basis

    • Running the guest list when requested

    • Logging lost property and giving lost property collection information cards out

    • Ticket collections

    • Selling tickets for upcoming events

    • Answering phone, taking messages

    • Exit flyer where requested


    Job Requirements


    • Working knowledge of Ticketmaster Ticketing system or equivalent computerised ticketing system
    • Significant previous experience in a similar role and environment, using a computerised Box Office/Ticketing system
    • Experience of leading and managing a team
    • Experience of working in a live music environment
    • Good knowledge of the operation of a live music venue
    • In-depth knowledge of the needs and operation of a Box Office; its day-to-day running and general requirements and satisfaction of customers.
    • High level of IT skills, especially Excel and Outlook email, to manage and maintain ‘ticket sales’ operation, including Web Sales
    • Management skills, communication skills, admin skills and experience leading a customer focused team
    • Troubleshooting and problem-solving skills
    • Good telephone manner and skills
    • Flexible and positive ‘can do’ approach
    • Experience of cash handling and managing budgets
